Job Summary
We are looking for a highly organized and customer-focused HVAC Dispatcher to join our team. In this role, you will be the central hub of our daily service operations — coordinating technician schedules, managing service calls, and ensuring our customers receive timely, professional support. The ideal candidate thrives in a fast-paced environment, communicates clearly, and can juggle multiple priorities without missing a beat.
Responsibilities
- Receive and process inbound service calls, emails, and online requests from residential and commercial customers
- Schedule and dispatch HVAC technicians for installation, maintenance, and repair calls based on location, skill set, and urgency
- Monitor technician schedules throughout the day and adjust assignments as new calls arise or situations change
- Serve as the primary point of contact between customers and field technicians, providing accurate ETAs and status updates
- Maintain accurate records of work orders, service history, customer information, and technician activity in the dispatch/CRM system
- Prioritize emergency and urgent calls appropriately, escalating when necessary
- Coordinate parts orders and procurement with the warehouse or supply team to support field technicians
- Follow up with customers after service calls to confirm satisfaction and close out work orders
- Assist with routing optimization to improve technician efficiency and reduce drive time
- Communicate professionally with customers to de-escalate concerns and ensure a positive service experience
- Support billing and invoicing by ensuring completed work orders are properly documented and submitted
Qualifications
Required:
- High school diploma or GED
- 1–2 years of dispatching, scheduling, or customer service experience (HVAC, plumbing, electrical, or other field service industries preferred)
- Strong verbal and written communication skills
- Proficiency with computers; experience with dispatch or field service management software (e.g., Service Titan) is a plus
- Ability to multitask and remain calm under pressure
- Strong attention to detail and organizational skills
Preferred:
- Familiarity with HVAC terminology and services
- Experience with routing or logistics coordination
- Bilingual (English/Spanish) a plus
